Silicon Valley Alumni Club Meeting Minutes
January 21, 2003

Meeting called to Order at 7:25pm by Siatuu (STU) Lavatai, Vice Prior..

Reading of previous Minutes were waived.

Present: Jeff Zell, Lloyd Gordon, Mike Barko and Siatuu (STU) Lavatai.

Absent:  Prior John Paine, Counsels: Mark Sanchez & Keith Barna.

I. Old Business:

  1. Brotherhood Quarterly Social (Dec 2002)
    1. Twenty-one (21) alumni attended and everyone had a fun time!  A group photo was taken (with Fra Jeff Zell's digital camera).  Continue to monitor the SVACoSAM Yahoo Website (Photo Album Category) for this events photo(s) at http://groups.yahoo.com/group/siliconvalleysammies).
    2. A suggestion was made to use dinner tickets for future Brotherhood Quarterly Social events. All attendees will purchase dinner tickets (from the event coordinator) prior to dinner being served. All drinks will be ordered and paid for on an individual basis.
    3. The next Brotherhood Quarterly Social is scheduled for Tuesday (03/18/2003). There was discussion about holding this gathering at a East Bay location. Fra Mike Barko will check availability at the Fremont Hilton Hotel.
  2. Annual Appeal & Alumni Information Letter
    1. Over (900) envelopes were mailed to SAMMY alumni, within the greater Bay Area. However, (139) envelopes for Beta Delta alumni, within the greater Bay Area, were withheld. The 139 Beta Delta alumni will receive a "special request" to assist with the 40th reunion/SAMMY social event.
      1. Don't forget to support the Brotherhood, with your monetary donation. Details where to send your donations is listed on the Annual Letter/Annual Appeal. Your donations go a long way, to decrease our expenses.
  1. Beta Delta 40th Anniversary Reunion/SVACoSAM Social
    1. Here's a summary of the terms and conditions, imposed by Double Tree Hotel Management, for reserving their ballroom.
      1. The hotel imposed a $5,000.00 (five thousand dollars) deposit fee to reserve their ballroom, which is to be paid over a four months period or ($1,250.00 monthly).
      2. There MUST be at least, 175 registered attendees, which is approximately (88 couples).
      3. If SVACoSAM does NOT meet the quota of 175 registered attendees, then hotel management will charge us ($40.00 per person).  For example, if ONLY 140 people register and show up on event day, then, SVACoSAM will incur a penalty fee: ($40 x 35= $1,400.00).
      4. After long discussions about scheduling the Reunion/SVACoSAM Social event at this venue location, there were some Council concerns. SVACoSAM Council was uncomfortable with the Double Tree Hotel's terms and conditions and suggested that we check other South Bay hotels who can accomodate our event. Prior John Paine and Fra Jeff Zell will check South Bay hotels (ie. The Hyatt, Crowne Plaza, Hilton, Le Baron, etc.) which can accomodate our event.
      5. SVACoSAM sends out an invitation to all alumni who want to serve on the Reunion/SAMMY Social committee. We are looking for any alumnus who has the time and energy to making this event a reality.     1. Still Posting SAMMY Emails to the SAMMY directory.
    2. We currently have 141 members on the SVACoSAM Yahoo website. Here's the URL:

  2. Exchequer (as per Fra Jeff Zell)
    1. Bank Account Grand Total: ($4,543.29).
    2. A check in the amount of ($995.00) was sent to Fra John Dollison, Sigma Sigma Co-Chapter Advisor, for reinbursement of Sigma Sigma's NEW stove. The stove has been installed and is working!  This check hasn't cleared, yet.
    3. Other Expenses (deductions):
      1. $606.00 (to Prior Paine) for golf outing fees.
      2. $370.00 (to Prior Paine) for postage stamps.
      3. $36.00 (to Prior Paine) for envelopes.
      4. $25.00 (to Prior Paine) for mailing lists.

  2. The next (SVACoSAM) gathering is OUR business session, scheduled for Tuesday, (02/18/2003). Continue to monitor your emails for exact details.
